Cancellation & Refund Policy
Last updated: 6 October 2026
This policy explains cancellation and refund arrangements for Lotus365's AI bookkeeping software at lotus365.network. It should be read alongside our Terms and Conditions.
1. Free Trial
New users receive a 30-day free trial. Where a payment method is required, it will not be charged during the trial.
The trial begins on the activation date shown when you register. Any feature restrictions or usage limits will be disclosed before enrolment.
The “365 days” in Lotus365 describes the period covered by your bookkeeping records. It does not describe the length of the free trial or subscription.
2. Billing
Unless you cancel during the trial, your paid subscription begins on day 31. Subsequent billing follows your chosen monthly or annual plan.
The price, renewal frequency, applicable taxes, and trial conversion date will be disclosed before you authorise recurring payments. You can review these details in your purchase confirmation or subscription information.
3. How to Cancel
You may cancel at any time. Cancel before the trial expires to avoid the first subscription charge.
To cancel:
- Use any subscription cancellation option provided within your Lotus365 account; or
- Email [email protected] from the email address associated with your account.
Include your account email and subscription reference, if available, so we can identify the subscription.
A valid cancellation takes effect from the time it is successfully submitted, subject to any necessary identity verification. We will confirm the cancellation and applicable access end date. No new renewal charges will be collected after cancellation takes effect.
Uninstalling the software or stopping use does not cancel a subscription.
4. Access After Cancellation
Free trials: Trial access ends upon cancellation.
Monthly subscriptions: Access continues until the end of the month already paid for.
Annual subscriptions: Where you receive a refund for unused full subscription months under Section 5, paid access ends at the close of your current subscription month. Access does not continue through months that have been refunded.
A “subscription month” runs between the monthly anniversary dates of your subscription start date.
Cancellation does not itself request account closure or data deletion. Keep independent copies of your uploaded records and results before access ends. Information retention and deletion are addressed in our Privacy Policy.
5. Refunds
Monthly plans: Payments for current or previous subscription months are non-refundable, except where applicable law requires otherwise.
Annual plans: You receive a refund for unused full future subscription months. The month already started and previous months are non-refundable, subject to applicable law.
The annual refund is calculated by dividing the annual subscription fee actually paid by 12 and multiplying that amount by the number of unused full subscription months. Discounts are reflected in the amount actually paid. Any applicable tax adjustment will be shown with the refund.
Approved refunds will be returned to the original payment method where possible. The time taken for the refund to appear depends on the payment processor and your financial institution.
We do not provide an unconditional money-back guarantee. Nothing in this policy limits mandatory cancellation, refund, or consumer rights. If you believe a payment was taken incorrectly, contact us so we can investigate.
6. Contact and Assistance
For help with cancellation, billing, or a refund request, contact:

A separately signed enterprise agreement takes precedence where it expressly provides different cancellation or refund arrangements.
